Scheduler

The Jane Scheduler module enables an organization to efficiently define and manage the claims process associated with various types of granular contracts or schedules of work, such as the payment of part-time lecturers in further and higher education.

The most efficient way of administering these schedules is to use existing electronic sources of information, rather than re-entering the details into yet another system. After all, the definition of the schedule is typically already available in your timetable management and/or register systems.

Using our generic interfaces, the schedules can optionally be generated by identifying specific elements of information associated with the employee's record (is the person involved a part-time lecturer?) or by observing information on the timetable that identifies the activity as being additional duties for an otherwise salary-paid employee.

You may not be in a position to implement the full suite of Jane modules and enjoy a fully integrated solution from a single supplier but nevertheless facilities exist to enable integration to existing sources of information, such as:

  • Access to your personnel system, to use existing employee details and eliminate the need to create a specific staff database.
  • Access to your course and subject definitions within the student administration module, to allow valid course and subject references to be associated with the schedule.
  • Access to your financial system, to enable commitments to be raised and monitored in the General Ledger.
  • Access to your financial system, to enable actual expenditure journals to be raised and monitored in the General Ledger and the associated commitments revised.
  • Access to your student management system, to allow the schedules to be dynamically created from the academic timetable or registers.
  • Access to your payroll system or provider, to enable the authorized claims to be paid effectively.

In our experience, every further and higher education establishment has its own unique combination of the above systems, which constitutes its overall information management strategy. These factors, combined with local cultural habits and procedures, means that delivering a single software solution that provides the required functionality is challenging.

Jane Systems has spent many years maturing our software facilities to ensure we have a solution that suits you and meets your needs.

Do you want to do any of the following?

  • Use a central administrative team to maintain the schedules manually?
  • Allow section administrators to maintain the schedules manually by using our Windows® application or our HR Portal that utilises the established Microsoft SharePoint infrastructure?
  • Allow flexible schedule definitions to accommodate daily, weekly, monthly or a simple block allocation of hours?
  • Schedule days rather than hours?
  • Automatically create the schedules based on existing timetable/register information?
  • Suggest employee claims through printed forms from the schedule definitions as a starting point for authorisation?
  • Use the HR Portal to enable claimants to electronically claim against schedule definitions?
  • Use manual authorization facilities to enable claims to be progressed efficiently?
  • Use the HR Portal to enable section leaders to authorize claims?
  • Import claims from 3rd party facilities to enable effective payments?
  • Use your timetable/register system to automatically provide your authorization? After all, if the register has been marked, what else do you need?
  • Pay the authorised claims yourself or pass the details on electronically, so that an external resource can pay them for you?

Do you need schedules, or do you simply want an effective timesheet management and authorization facility using some of the features described above?
